How to View and Delete Print Queue in Windows 11

Position is Everything
Latest posts by Position is Everything (see all)

Every time you print in Windows 11the job does not go straight to the printer. It is first placed into a temporary holding area called the print queuewhere Windows prepares and manages each document before sending it to the printer. Understanding how this queue works is essential when prints stallrepeator refuse to cancel.

JUMP TO TOPIC

What the Print Queue Actually Does

The print queue is managed by the Windows Print Spooler servicewhich acts as a traffic controller for all print jobs. It stores documents on your PC’s driveschedules them in orderand sends them to the printer when it is ready. This allows you to keep working while documents print in the background.

When everything works correctlyprint jobs move through the queue automatically and disappear once completed. Problems occur when a job becomes stuckcorruptedor incompatible with the printer or driver.

Why Print Jobs Get Stuck in Windows 11

Print queues often fail silentlyleaving documents in a “Printing” or “Error” state with no clear explanation. This is usually caused by a breakdown between Windowsthe printer driveror the printer itself.

  • Print at home like a Pro.
  • Reliable technology uniquely built to work at home.
  • Print from your couch with the best print app.
  • Always be ready to print. Never run out of ink.

Common triggers include:

  • Printer going offline or losing network/USB connection
  • Outdateddamagedor incompatible printer drivers
  • Large or complex documents freezing the spooler
  • Power interruptions while a job is processing

Once a job is stuckevery job behind it can also stopeffectively blocking all printing.

How the Print Queue Affects Your Entire System

A jammed print queue does more than prevent documents from printing. It can cause applications to hang when trying to printslow system performanceor repeatedly resend the same document. In shared or office environmentsa single stuck job can affect multiple users printing to the same device.

Windows 11 does not always clear failed jobs automaticallywhich is why manual intervention is often required. Knowing how to view and delete items in the print queue gives you direct control when printing breaks down.

Why You Should Know How to Manage the Print Queue

Clearing the print queue is one of the fastest ways to resolve printing issues without restarting your PC or reinstalling drivers. It is a core troubleshooting skill for home users and an essential task in professional IT support. Windows 11 provides multiple ways to access and control the queuedepending on whether you prefer graphical tools or system-level fixes.

Prerequisites and What You Need Before Managing the Print Queue

Before you start viewing or deleting print jobs in Windows 11it helps to confirm a few basic requirements. These checks prevent unnecessary troubleshooting and ensure you have full control over the print queue.

Access to a Windows 11 User Account

You must be signed in to a Windows 11 user account to manage print jobs. Standard user accounts can usually view and cancel their own print jobs without restrictions.

If the printer is shared across multiple userssome actions may require administrator privileges. This is especially common in workplace or school environments.

Administrator Rights (When Required)

Certain print queue actions require administrative access. This includes clearing jobs submitted by other users or restarting print-related services.

You may be prompted for an administrator password when making system-level changes. If you do not have admin accessyou may need assistance from IT support.

A Printer Installed and Recognized by Windows

The printer must be installed correctly and visible in Windows 11. If Windows does not detect the printerthere will be no queue to manage.

You can confirm this by checking the Printers & scanners section in Settings. Both physical and virtual printers create print queues.

An Active or Previously Stuck Print Job

Managing the print queue is only useful when jobs exist in the queue. This may include documents labeled as PrintingPausedor Error.

If the queue appears empty but printing is still failingthe issue may lie with the printer driver or spooler service. Those cases require deeper troubleshooting later in the guide.

Basic Connectivity to the Printer

Your printer should be powered on and connectedeither by USBWi-Fior Ethernet. A disconnected or offline printer often causes jobs to become stuck.

Check for common connection indicators such as status lights or on-screen alerts. Network printers may also require a stable local network connection.

Understanding Which Printer You Are Managing

Many systems have multiple printers installedincluding virtual options like PDF or OneNote printers. Clearing the wrong queue will not fix the issue.

Make note of the exact printer name associated with the stuck job. This is especially important in offices with shared or similarly named devices.

Saved Work in Open Applications

Clearing or restarting print services can interrupt applications that are actively trying to print. Saving your open documents reduces the risk of data loss.

Some applications may freeze briefly when a print job is canceled. This behavior is normal and typically resolves once the queue is cleared.

Optional but Helpful Checks

Before managing the queueit helps to quickly verify the following:

  • The printer is not set to Offline or Paused
  • No pending Windows updates are installing printer drivers
  • The Print Spooler service is running

These checks are not requiredbut they can save time if the issue turns out to be broader than a single stuck print job.

Method 1: How to View the Print Queue Using Windows 11 Settings

Windows 11 Settings provides the most direct and user-friendly way to view an active print queue. This method works for both USB-connected and network printers and does not require any advanced tools.

It is the recommended starting point for most users because it shows real-time job status and allows basic management without leaving the Settings app.

Why Use Settings to View the Print Queue

The Settings interface is tightly integrated with Windows 11’s printing system. It displays only the jobs associated with the specific printer you selectreducing confusion when multiple printers are installed.

This view also reflects the current state of the Print Spooler service. If jobs are stuckpausedor failingyou will see clear status indicators.

Step 1: Open Windows 11 Settings

Open the Settings app using one of the following methods:

  1. Press Windows key + I on your keyboard
  2. Right-click the Start button and select Settings
  3. Search for Settings from the Start menu

Once openyou should see the main Settings dashboard with system categories listed on the left.

Step 2: Navigate to Printers & scanners

In the left-hand navigation paneselect Bluetooth & devices. This section contains all hardware and peripheral configuration options.

Scroll down on the right side and click Printers & scanners. Windows will load a list of all installed physical and virtual printers.

Understanding the Printer List

Each printer listed here has its own independent print queue. Selecting the correct printer is criticalespecially in environments with shared or network devices.

If you do not see the expected printerit may be powered offdisconnectedor installed under a different name.

Step 3: Select the Printer You Want to Manage

Click the name of the printer associated with the stuck or active job. This opens the printer’s management page.

On this screenWindows shows the printer statusdefault settingsand troubleshooting options.

Step 4: Open the Print Queue

Click the Open print queue button. A separate window will appear showing all current and pending print jobs for that printer.

Each job displays details such as document namestatusownerpage countand submission time.

How to Read Print Queue Status Messages

The Status column is key to diagnosing issues:

  • Printing indicates the job is actively being processed
  • Paused means the job or printer has been manually paused
  • Error suggests a communication or driver issue
  • Deleting means Windows is attempting to remove the job

If a job remains in the same state for an extended timeit is likely stuck.

What You Can Do From the Print Queue Window

Right-clicking a print job reveals management options such as PauseResumeRestartor Cancel. These options apply only to the selected job.

You can also access printer-level controls from the Printer menu at the top of the queue window. This includes pausing the entire printer or canceling all documents at once.

When This Method Works Best

Using Settings is ideal when Windows is responsive and the printer appears online. It is also the safest method for routine job cancellation because it avoids direct system changes.

If the print queue window fails to open or jobs refuse to clearthe issue may involve the Print Spooler service. That scenario requires more advanced methods covered later in the guide.

Method 2: How to View the Print Queue from Control Panel

The Control Panel method exposes the classic printer management interface that has existed across multiple Windows versions. It provides more direct access to printer properties and is often more reliable when the modern Settings app behaves inconsistently.

This approach is especially useful in business environmentson older printer driversor when troubleshooting legacy or shared printers.

Why Use Control Panel Instead of Settings

Control Panel interacts directly with the Windows print subsystem rather than the newer Settings layer. Because of thisit can display printers or queues that may not appear correctly elsewhere.

IT professionals often prefer this method because it mirrors workflows used in Windows 10Windows 8and Windows 7making it easier to follow existing documentation.

Step 1: Open Control Panel

Press Windows key + R to open the Run dialog. Type control and press Enter.

If Control Panel opens in Category viewit will group settings by function. This is finebut switching to icon view can make printer access faster.

Step 2: Navigate to Devices and Printers

Click Hardware and Sound. Then select Devices and Printers.

This screen lists all printers known to the systemincluding local USB printersnetwork printersand virtual devices such as Microsoft Print to PDF.

Step 3: Locate the Correct Printer

Find the printer associated with the stuck or active job. The default printer typically has a green checkmark icon.

If multiple printers appear similarhover over each device to view its full name and status. Offline or error states are often visible here before opening the queue.

Step 4: Open the Print Queue

Right-click the printer and select See what’s printing. The print queue window will open immediately.

This window shows all pendingpausedor active print jobs for that specific printer. From hereyou can manage individual jobs or the entire queue.

Managing Jobs from the Control Panel Queue

The Control Panel queue provides the same job controls as the Settings-based queue but with a more traditional layout. You can right-click any job to pauseresumerestartor cancel it.

The Printer menu at the top allows you to pause the entire printer or cancel all documents in one actionwhich is helpful when clearing multiple stuck jobs.

Common Issues You May See in Control Panel

Some problems are easier to identify from this interface:

  • Jobs stuck at Deleting usually indicate a stalled Print Spooler
  • Printer showing Offline may point to connectivity or power issues
  • Paused printers prevent all jobs from processing until resumed

If jobs remain visible but cannot be removedthe issue typically lies beyond the queue interface and requires service-level intervention.

When the Control Panel Method Is the Best Choice

This method works best when the Settings app fails to open the queue or does not reflect real-time job status. It is also ideal when managing shared printers or older devices with legacy drivers.

If the queue still cannot be cleared from Control Panelthe Print Spooler service is likely unresponsive and must be addressed directly using administrative tools.

Method 3: How to View the Print Queue Directly from the Printer Icon

This method is the fastest way to access the print queue while a document is actively printing. Windows 11 displays a temporary printer icon that links directly to the queue for the job in progress.

It is ideal when a print job freezesprints incorrectlyor needs to be canceled immediately without navigating through Settings or Control Panel.

When the Printer Icon Appears in Windows 11

The printer icon only appears while at least one job is being processed or waiting in the queue. Once all jobs finish or are clearedthe icon disappears automatically.

You will usually see it within seconds of sending a document to printespecially with physical printers connected via USB or network.

Step 1: Locate the Printer Icon in the System Tray

Look at the system tray on the far right of the taskbar near the clock. If the icon is not immediately visibleclick the small upward arrow to show hidden icons.

The printer icon resembles a small printer and indicates active print activity.

Step 2: Open the Print Queue from the Icon

Double-click the printer icon to open the print queue window instantly. This opens the queue for the exact printer handling the current job.

If multiple printers are installedthis method avoids opening the wrong queue.

Step 3: Manage or Delete Print Jobs

Inside the queue windowyou can control jobs individually or clear the entire queue. Right-click a job to pauserestartor cancel it.

To clear everything at onceuse the Printer menu at the top and select Cancel All Documents.

Why This Method Is Often Overlooked

Many users miss this option because the icon is temporary and easy to ignore. It does not appear when printers are idlewhich makes it less discoverable.

Despite thisit is the most direct path to the queue during real-time printing issues.

Limitations of the Printer Icon Method

This method only works while print jobs are active or stuck in a processing state. If the spooler crashes or the job never startsthe icon may never appear.

In those casesyou must access the queue through Settings or Control Panel instead.

Best Scenarios for Using This Method

This approach works best in time-sensitive situations where a job must be stopped immediately. It is also useful on shared or work computers where quick access matters.

How to Delete or Cancel Individual Print Jobs in Windows 11

Canceling a single print job is often enough to fix common printing problems without disrupting other documents. Windows 11 allows you to remove individual jobs from the queue using several built-in tools.

The method you choose depends on whether the printer is responding normally or the job is stuck.

Step 1: Open the Print Queue for the Correct Printer

Before you can delete a jobyou must open the queue for the printer that received it. Canceling jobs only works from the exact queue where the document is listed.

The most reliable path is through Settings:

  1. Open Settings
  2. Go to Bluetooth & devices
  3. Select Printers & scanners
  4. Click the printer in question
  5. Select Open print queue

This ensures you are not viewing a different printer that has no active jobs.

Step 2: Identify the Print Job You Want to Cancel

The queue window lists all documents waitingprintingor paused. Each entry shows the document namestatusownerand page count.

Look carefully at the document name and statusespecially in shared or office environments where multiple users may be printing at the same time.

Step 3: Cancel a Single Print Job from the Queue

Right-click the specific document you want to stop. Select Cancel from the context menu.

Windows will attempt to remove the job immediately. If the printer has not started printing yetthe job disappears almost instantly.

What to Do If the Job Shows as Deleting or Stuck

Sometimes a job remains in a Deleting or Printing state and does not clear right away. This usually means the printer or spooler is still processing data.

In this casewait 10 to 20 seconds before taking further action. Canceling the same job repeatedly does not speed up removal.

Using Pause and Resume for Troubleshooting

Instead of cancelingyou can pause a job to prevent it from printing temporarily. Right-click the job and choose Pause.

This is useful when:

  • You need to load paper or change ink
  • You want to check the document before printing
  • You are diagnosing printer errors

You can resume the job later by right-clicking it again and selecting Resume.

Canceling Jobs When the Queue Window Freezes

If the print queue window becomes unresponsiveclose it and reopen the queue from Settings. This refreshes the connection to the Print Spooler service.

If the job still cannot be canceledthe issue is likely at the spooler or driver level rather than the queue interface.

Canceling Print Jobs Using Control Panel

Some legacy printers behave more reliably through Control Panel. This method exposes the same queue but uses older management tools.

Open Control Panelselect Devices and Printersright-click the printerand choose See what’s printing. From therecancel the individual job as normal.

When Individual Job Cancellation Is Not Enough

If canceling a single job does not work and blocks everything behind itthe entire queue may need to be cleared. This usually indicates corrupted spool files or a stalled printer connection.

In those scenariosstopping the Print Spooler service or clearing all documents becomes necessarywhich is handled in later troubleshooting sections.

How to Clear the Entire Print Queue at Once

Clearing the entire print queue removes all pending and stuck jobs for a specific printer in one action. This is the fastest way to recover from frozen print jobsdriver crashesor communication errors.

This process does not delete the printer itself. It only removes documents waiting to be printed.

Method 1: Clear All Jobs from the Printer Queue Window

This is the simplest and safest method when the print queue window is responsive. It uses built-in Windows controls to cancel every job at once.

Step 1: Open the Printer Queue

Open Settingsgo to Bluetooth & devicesthen select Printers & scanners. Click the affected printer and choose Open print queue.

The queue window shows all active and pending jobs for that printer.

Step 2: Cancel All Documents

In the print queue windowclick Printer in the top menu. Select Cancel All Documents.

Windows immediately attempts to delete every job in the queue. If successfulthe list becomes empty within a few seconds.

When This Method Works Best

This approach works reliably when:

  • The printer queue window opens normally
  • Jobs are not stuck in a permanent Deleting state
  • The Print Spooler service is still running

If the queue does not clear or becomes unresponsivemove to the spooler-based method below.

Method 2: Clear the Queue by Restarting the Print Spooler

Restarting the Print Spooler forcefully stops all print activity and releases locked jobs. This method clears the entire queue at the service level.

Use this when jobs refuse to delete or block all new print requests.

Step 1: Open the Services Console

Press Windows + Rtype services.mscand press Enter. The Services window lists all background Windows services.

Scroll down and locate Print Spooler.

Step 2: Stop the Print Spooler Service

Right-click Print Spooler and select Stop. This immediately halts all printing and unlocks queued jobs.

Do not close the Services window yet.

Step 3: Clear Spooler Files

Open File Explorer and navigate to:
C:\Windows\System32\spool\PRINTERS

Delete all files inside this folder. These files represent queued print jobs.

Step 4: Restart the Print Spooler

Return to the Services window. Right-click Print Spooler and select Start.

The print queue is now completely cleared and ready for new jobs.

Important Notes and Precautions

  • All documents in the queue are permanently removed and cannot be recovered
  • Applications may still show printing until they refresh or are reopened
  • This process affects only the selected printernot others

If the Queue Refills Immediately

If jobs reappear after clearing the queuea background application may be resending them. Close any apps that were printing and restart them before printing again.

In persistent casesprinter drivers or port configurations may need repairwhich is covered in advanced troubleshooting sections later in this guide.

Advanced Method: Clearing the Print Queue Using Services and Print Spooler

This method clears the print queue at the Windows service level rather than through the printer interface. It is the most reliable approach when print jobs are stuckunresponsiveor locked in a permanent Deleting state.

By stopping the Print Spooler service and manually removing spool filesyou eliminate corrupted or jammed jobs that normal deletion cannot remove.

When You Should Use the Print Spooler Method

This approach is intended for situations where standard queue management fails. It directly resets the component responsible for handling all print jobs in Windows.

Use this method if you encounter any of the following issues:

  • Print jobs cannot be canceled or paused
  • The print queue window freezes or fails to open
  • Jobs immediately return after deletion
  • Printing blocks all new documents system-wide

Step 1: Open the Services Console

The Services console allows you to control core Windows background services. You must access it to stop and restart the Print Spooler safely.

Press Windows + R to open the Run dialog. Type services.msc and press Enter.

Scroll through the list until you find Print Spooler. The services list is alphabeticalso it is typically near the middle.

Step 2: Stop the Print Spooler Service

Stopping the Print Spooler immediately halts all printing activity and releases file locks on queued jobs. This step is required before deleting spool files.

Right-click Print Spooler and select Stop. The service status will change to stopped within a few seconds.

Leave the Services window openas you will need it again shortly.

Step 3: Delete the Print Spooler Files Manually

With the spooler stoppedWindows no longer protects queued job files. These files are stored locally and can now be removed.

Open File Explorer and navigate to:
C:\Windows\System32\spool\PRINTERS

Delete all files inside the PRINTERS folder. Do not delete the folder itself.

If Windows requests administrator permissionapprove the prompt to continue.

Step 4: Restart the Print Spooler Service

Restarting the service restores normal printing functionality and rebuilds an empty queue. This final step re-enables printing across the system.

Return to the Services console. Right-click Print Spooler and select Start.

Once startedthe print queue is fully cleared and ready to accept new jobs.

Important Notes and Precautions

Clearing the spooler removes all queued documents without confirmation. Any pending print jobs are permanently lost.

Keep the following considerations in mind:

  • Applications may still show a printing status until refreshed or restarted
  • Only print jobs are clearednot printer drivers or settings
  • Other printers remain unaffected unless they share the same spooler files

If Print Jobs Return After Clearing the Queue

If the queue refills immediatelyan application may be automatically resending the job. Close any programs that were printing before attempting to print again.

In stubborn casesoutdated printer driversincorrect portsor network printer errors may be responsible. These issues require deeper driver or configuration troubleshootingwhich is addressed in later sections of this guide.

Troubleshooting Common Print Queue Issues in Windows 11

Even after clearing the queueprinting problems can persist due to service failuresdriver conflictsor network-related issues. Understanding the underlying cause helps you apply the correct fix without unnecessary reinstalls or system changes.

The scenarios below cover the most common print queue failures seen in Windows 11 environmentsfrom home PCs to business networks.

Print Jobs Stuck in “Deleting” or “Printing” Status

A job that refuses to clear is usually locked by the Print Spooler service or the printer driver. Windows continues to wait for a response that never arrives.

This commonly occurs after a printer goes offline mid-job or loses network connectivity. Restarting the Print Spooleras covered earlieris the fastest resolution.

If the issue repeats frequentlythe printer driver may be unstable or outdated. Reinstalling the driver often prevents future lockups.

Print Queue Is Empty but Printer Still Will Not Print

An empty queue with no output typically indicates a communication problem rather than a queue issue. Windows may be sending jobsbut the printer is not receiving them.

Check the printer’s status in Settings > Bluetooth & devices > Printers & scanners. If it shows Offline or ErrorWindows has lost contact with the device.

For network printersconfirm the printer’s IP address has not changed. Static IP assignments are recommended in business or shared environments.

Print Spooler Service Keeps Stopping Automatically

If the Print Spooler stops on its ownWindows is usually encountering a driver or spool file error. When this happensall printing immediately fails.

Third-party printer drivers are a common causeespecially older drivers upgraded from Windows 10. Removing unused printers and drivers reduces the likelihood of crashes.

You can identify problematic drivers by temporarily removing all printersrestarting the spoolerthen adding printers back one at a time.

Printer Shows “Offline” Even Though It Is Powered On

An offline status often means Windows is using the wrong port or communication protocol. This is common with USB printers that were reconnected to a different port.

Open the printer’s properties and verify the selected port matches the current connection. For USB printersswitching to a different USB port can trigger Windows to create a new printer instance.

For network printersensure the port type is set to Standard TCP/IP and not WSD if reliability issues occur.

Duplicate or Reappearing Print Jobs

Duplicate jobs usually originate from the applicationnot the printer. Some programs automatically retry failed prints without user input.

Close the application completely before clearing the queue. This prevents the job from being resubmitted as soon as the spooler restarts.

If the problem is limited to one appcheck for application updates or test printing from a different program to confirm the source.

Access Denied Errors When Clearing the Queue

Permission errors indicate the Print Spooler is still running or the user lacks administrative rights. Windows protects spool files while the service is active.

Always confirm the Print Spooler service is fully stopped before deleting files. The status must show Stoppednot Stopping.

If the issue persistssign in with an administrator account and retry the process. Standard user accounts cannot manage spooler files.

Print Queue Issues After a Windows Update

Windows updates can replace printer drivers or reset printer settings. This may cause previously working printers to fail without warning.

After major updatesrecheck printer propertiesportsand driver versions. Installing the manufacturer’s latest Windows 11 driver often resolves post-update issues.

Avoid relying on generic drivers for advanced printersas feature mismatches can destabilize the queue.

When to Remove and Re-Add the Printer

If queue problems continue despite clearing the spooler and restarting servicesremoving the printer is often the cleanest fix. This resets the driverportand queue association.

Remove the printer from Printers & scannersrestart the computerthen add the printer again. This forces Windows to rebuild the entire print configuration.

This approach is especially effective for long-standing issues that survive restarts and spooler resets.

Best Practices to Prevent Stuck or Failed Print Jobs

Keep Printer Drivers Updated and Vendor-Specific

Outdated or generic printer drivers are one of the most common causes of stalled print queues. Windows Update often installs basic drivers that lack full feature support.

Always download drivers directly from the printer manufacturer’s website. Choose drivers explicitly marked for Windows 11 to ensure compatibility with the current print subsystem.

Avoid mixing driver types for the same printer model across multiple PCs. Consistency reduces queue conflictsespecially on shared or network printers.

Use Standard TCP/IP Ports for Network Printers

Windows often defaults to WSD (Web Services for Devices) portswhich can introduce reliability issues. These ports rely on network discovery that is prone to timeouts.

Standard TCP/IP ports communicate directly with the printer’s IP address. This reduces queue delays and prevents jobs from appearing stuck in Sending to printer.

If the printer’s IP address changes frequentlyreserve it in the router or assign a static IP. Stable addressing prevents broken port references.

Avoid Printing Large or Complex Jobs All at Once

Large PDFsimage-heavy documentsor spreadsheets can overwhelm the print spooler. This is especially true on older printers or systems with limited memory.

Break large print jobs into smaller batches when possible. This allows the spooler to process jobs more reliably and recover faster from errors.

For complex documentstry printing to PDF first. This flattens formatting issues before sending the final output to the printer.

Close Applications After Sending Print Jobs

Some applications maintain an active connection to the print spooler until they are closed. If the app freezesthe print job may remain locked in the queue.

After sending a joballow it to begin printingthen close the application if it is no longer needed. This frees system resources and reduces duplicate submissions.

If an application frequently causes stuck jobscheck for updates or compatibility notes from the software vendor.

Restart the Print Spooler Periodically

The Print Spooler service runs continuously and can accumulate errors over time. Long uptimes increase the risk of queue corruption.

Restarting the spooler clears temporary states without affecting installed printers. This is especially useful on shared or office PCs that print frequently.

A periodic restart can be part of routine maintenance. It is faster and less disruptive than troubleshooting a full queue failure.

Limit the Number of Active Printers

Windows loads drivers and ports for every installed printereven if they are not used. Excess printers increase the chance of driver conflicts.

Remove printers that are no longer needed or no longer accessible. This simplifies the print environment and reduces background spooler activity.

For laptopsavoid adding temporary printers unless necessary. Use them oncethen remove them after the task is complete.

Ensure Adequate Permissions and Disk Space

The print spooler stores temporary files on the system drive. Low disk space can cause jobs to fail silently or remain stuck.

Keep sufficient free space on the Windows driveespecially on systems that print large documents. Monitor storage regularly.

Administrative permissions are required for advanced queue management. Standard users should avoid manual spooler file changes to prevent corruption.

Reboot After Persistent Print Issues

Some print problems are tied to system-level locks that do not clear immediately. Services may appear restarted but remain unstable.

A full system reboot resets the spoolerdriversportsand related services. This often resolves issues that survive manual fixes.

If print issues reoccur after every rebootfocus on driversportsor hardware firmware as the root cause.
